Modern Universities Need to Manage Information, Not Just Pages

Many years ago, the typical publishing model centered around a WYSIWYG ("What You See Is What You Get") editor, where contributors created individual pages by combining text, images, links, and formatting into a single document. This approach made sense when websites were relatively small and content was consumed almost exclusively through web browsers.

This approach has evolved over time.

The same information often needs to appear in many different places. An academic program may be featured on an admissions page, a department website, a college homepage, a program finder, an email campaign, and in AI-generated search results. A faculty profile may appear in department directories, research centers, news stories, and course catalogs. Events may populate calendars, landing pages, digital signage, and mobile applications.

A page-centric publishing model was not designed for that reality.

When the same information is copied and pasted across dozens of pages, keeping it accurate quickly becomes difficult. Updates are missed, inconsistencies appear, and contributors spend more time maintaining duplicate content than improving it.

Modern universities need a better way to manage institutional knowledge, not just a better way to build individual pages. That is where structured content becomes essential.

What Is Structured Content?

Structured content organizes information into reusable, well-defined pieces instead of storing everything as large blocks of formatted text. 

Rather than treating a faculty profile as a single web page, structured content stores individual pieces of information separately, such as:

The CMS understands what each piece of information represents. Because those elements are stored independently, they can be reused, updated once, and published wherever they are needed.

One common misconception is that structured content limits creativity.

In reality, it removes repetitive work while giving contributors greater confidence that their content will be presented consistently across the institution.

Faculty should focus on teaching and research. Admissions counselors should focus on helping prospective students. Department coordinators should focus on keeping information accurate. They should not have to become web designers or HTML experts to publish effective content.

A well-designed content model provides enough structure to maintain consistency while giving contributors the flexibility to communicate what matters most. The goal is not to restrict contributors. It is to help them create better, more effective content with less effort.

Structured content is often discussed as a website strategy, but its value extends beyond just the website.

As digital experiences continue to evolve, universities will increasingly publish information across channels that did not exist when many websites were first built. AI assistants, personalized experiences, voice search, mobile applications, and future technologies all depend on content that is organized, reusable, and understandable.

Institutions that continue to think primarily in terms of pages will find it increasingly difficult to adapt, while teams that think in terms of structured information will be prepared for whatever comes next.
