The Review Date is a metadata field available to all Dublin metadata aware assets. It is used to trigger the review of an asset's content via workflow.
Concept
The Review Date field is a combination date/time picker that is set when the asset is created or edited. At the date and time selected, the following will happen:
- The system will choose an applicable Edit workflow by first looking at workflow definitions's assigned directly to the asset's parent folder and then at any workflow definitions inherited by the parent folder from higher-level folders. It will use the first available workflow definition it finds.
- If no workflow definition is available, no review takes place
- If a workflow definition is found, the system will look for a user to own it
- If there was a previous edit, the user who last edited the asset becomes the owner of the workflow
- If there was no previous edit, the user who created the asset becomes the owner of the workflow
- Assuming a valid user is located, the workflow is started, otherwise the review ends.
NOTE: If more than one Edit workflow definition is assigned to the folder or inherited from other folders, the choice of workflow is unfortunately arbitrary. It is recommended that if you are going to use Review workflows, you should ensure there is only a single Edit workflow either assigned to or inherited by the parent folder.
