Using Workflows

Depending on your role and function, you will be presented with different options to initiate and/or complete the various workflow steps associated with any asset.

  1. As a Contributor »
    Users with the role of Contributor are typically responsible for creating or editing content, and will initiate the workflow process.
    1. Selecting a Workflow
      Depending on what options are set for that folder or asset factory, the user may have different workflow options to choose from.
    2. Sending a Message
      Sending a message to a user or group in the system is quick and easy.
    3. Deleting a Workflow
      An active workflow can only be deleted by an administrator/manager, or by the initiating user.
  2. As an Administrator »
    Administrators may participate in all types of workflow steps, and can, in addition, bypass workflows or edit workflows in progress.
    1. Bypassing a Workflow
      Bypassing a workflow is only an option for administrator or manager level users.
    2. Editing a Workflow in Progress
      As an administrator, you can edit a workflow that is already in progress.
  3. Notifications »
    Cascade Server is designed to allow users to control their own notifications, through the dashboard, by email, via RSS feed, or any combination of the three.
    1. Via Email
      One of the most common ways to be notified of a workflow is via email.
    2. Via Dashboard
      The Dashboard offers a central location for users to view any system messages, messages from other users, and all workflows waiting for action.
    3. Via RSS
      All users in the system have their own RSS feeds showing all workflow messages from the dashboard.
  4. As an Approver
    Approvers are responsible for reviewing content in workflow and determining whether it should be approved, rejected, or edited.
  5. As a Translator
    A Translator is treated by the system as an additional Reviewer for content, who, instead of simply reviewing content, actually adds content to the page.
  6. As a Publisher
    Publishers are responsible for the final step in a workflow - publishing the content.
