Managing one website, let alone hundreds, at scale comes with its challenges, such as having outdated content, unused assets, and a lack of visibility into what needs attention. Content audits are an essential part of effective website management, web governance, SEO, and user experience. In speaking with many of our customers, we learned that they would prefer to do content audits on a regular basis. What’s been holding them back is the fact that obtaining a comprehensive inventory manually was simply too tedious.

That’s why we’re excited to introduce the Content Inventory Report in Cascade CMS, designed to give you a complete overview of all the assets on your site and empower you to take action.

Why a content inventory report matters

A content inventory is essential for website governance, helping teams streamline content audits, maintain accurate and relevant information, optimize workflows, and create and maintain more effective and successful websites. That’s why we built a solution right into Cascade CMS. No more combing through countless pages and folders to track assets, since everything is available at a glance.

This feature simplifies the process of identifying stale content, monitoring publishing activity, or preparing for a redesign, and provides valuable insights at a glance.

Key features and benefits

1. Get a full snapshot of your assets

The Content Inventory Report provides a high-level overview of all assets in your CMS, including:

  • Total number of publishable assets
  • Assets that have never been published (such as drafts or abandoned pages)
  • Unused assets (helping you declutter your CMS)
  • Assets with pending review date (so that you and your contributors can avoid inaccurate or irrelevant content)
  • Stale assets that may need updating or removal

2. Powerful filtering options to help drive action

Easily narrow down the report with advanced filtering options to focus on what matters most. Filters include:

  • Indexability: Show only assets that are or aren’t indexable.
  • Usage Status: Identify assets that are unused or actively part of a workflow.
  • Publication Status: Filter by assets that are:
    • Publishable but never published
    • Previously published
    • Have unpublished edits
  • Ownership Filters: Sort assets by owner:
    • With any owner
    • Owned by you
    • With selected owners
    • With no assigned owner
  • Content Review & Governance: Quickly find overdue content or content due for review in a specified timeframe.
  • Folder Restriction: Focus on specific sections of your site.

3. Take action directly from the report

A report is only as useful as the actions it enables. With the Content Inventory Report, you can select one or multiple assets and perform key actions, such as:

  • Publish or Unpublish content as needed
  • Delete outdated or unnecessary assets
  • Notify a User or Group by Email about content updates
  • Schedule a Review to ensure regular content governance
  • Assign or Unassign an Owner for better accountability
  • Manually Create Relationships between assets to improve site structure and content relationships

4. Export and share your insights

For further analysis or collaboration, you can export your report as a CSV file to share with stakeholders or integrate into other workflows.

More benefits of having this report at your fingertips

  • Increase efficiency: Instantly identify outdated, unused, or unreviewed content without spending hours manually auditing your site.
  • Improve content governance: Proactively manage assets and ownership to ensure compliance with your institution’s or organization’s content policies.
